Hi Clinton,
I'd like to support you with this--I just need to work out what the constraints are on what we can do.
I've had a quick check, and one of the biggest issues seems to be about whether you have a current staff member involved who can effectively make the booking. Without this, we go into the need for insurance, etc., and it is also harder to argue for charges to be waived (which I'm told is an issue even if we don't go through central room bookings).

UQ room bookings recently enacted a change to their rules to forbid external groups from receiving free room bookings, even for groups like ours that have been meeting at UQ for over twenty years with no problems.
